North Shore Animal League America is currently seeking a full time Volunteer Coordinator who will be responsible for the full range of administrative and office support for the NSALA Volunteer Program. Contribute to the further development of the Volunteer Program. Provide assistance to Foster Care and Shelter Operations as needed.

Duties and Responsibilities:

     Volunteer Program Recruitment and Onboarding:

  • Perform administrative duties, such as responding to telephone calls, email inquiries and mail inquiries regarding volunteering at NSALA. Oversee administrative volunteers.
  • Review incoming volunteer applications and select applicants for interviews.
  • Coordinate Volunteer Interviews: schedule, conduct thorough interviews, create a spreadsheet with results, prepare acceptance emails with training dates, run background checks, send letters to participants who are not selected, Onboard new volunteers through Orientation and classes. Prepare and distribute volunteer ID badges, shelter access cards and volunteer uniforms.
  • Coordinate with Shelter Managers to fulfill their volunteer needs, including volunteer areas and shifts.
  • Match volunteers to opportunities that suit their skill sets, and ensure they understand their responsibilities and receive the proper training.
  • Send out monthly class list for volunteers to attend and provide Basic Training for new volunteers, as well as continuing education classes (such as GRC classes, Puppy Basics, Customer Service and Adoption Applications, etc.)
  • Communicate new volunteer start dates to Shelter Managers and coordinate volunteers or associate.
  • Recruit and schedule volunteers to provide extra assistance for Special Events (Adopt-a-thon, Events, Offsite, Media, Rescue, Commercial Breeding Rescues, etc.)

     Administration:

  • Ensure that new volunteer information is entered into databases (Volgistics and Filemaker) and information is kept up to date (address changes, shift changes, etc.).
  • Maintain volunteer constant contact list and maintain and update volunteer hard-copy files (attendance, training forms, commendations, accident reports, etc.).
  • Responsible for the maintenance and updating of various spreadsheets/grids:
    • Open to hire sheets
    • Volunteers and Managers Assigned List
    • Volunteer Pet Registration List
    • Weekly Volunteer Staffing Sheets and Attendance Reports
  • Generate weekly, quarterly, and annual reports for the Volunteer Department.
  • Keep postings up to date on Volunteer Bulletin Board regarding trainings, new volunteer positions, policy changes for shelter (or communicate with all volunteers in e-mail blasts).
  • Maintain inventory of office supplies and volunteer uniforms and order as needed.

     Retention and Volunteer Appreciation:

  • Coordinate with administrative volunteers to ensure that:
    • Cards and certificates are sent out for volunteer birthdays
    • Letters are generated and sent out for volunteer anniversaries
    • Year-end holiday cards are sent out
    • Ensure that these items are completed, in the event an administrative volunteer is not available to assist
  • Assists in the development and execution of volunteer appreciation events and activities throughout the year.
  • Supervise the distribution of invitations for quarterly appreciation events.
  • Work in conjunction with Shelter Directors, Associate Directors, Shelter Managers, and kennel associates to increase morale and help mediate relationships between staff and volunteers.
  • Other duties as assigned.

     VolunTEEN Program and Special Initiatives:

  • Review teen applications and schedule VolunTEEN interviews, and recruit team leaders to assist with interviews.  Schedule teen training sessions and ensure that they are properly trained.
  • Collaborate with Pet Behavior to have teen volunteers participating in canine and feline enrichment activities.
  • Coordinate the weekly, two-hour sessions and make sure teens are supervised and they are working with volunteer team leaders and shelter managers.
  • Oversee Girl and Boy Scout tours. Oversee special volunteer groups such as NCN and QCP.
  • Work directly with corporate volunteers during Corporate Volunteer Days and recruit volunteers to assist.
  • Development of new initiatives to enrich the current volunteer program.
  • Assist the Foster Care Department, in terms of intakes, discharges, or special events, as needed.
  • Assist Shelter Operations and other departments at special events, adoption events, and during adoption days, as needed.
  • Other duties as assigned.

Requirements:

  • 2-3 years’ experience in an administrative role.
  • Experience in recruiting and volunteering a plus.
  • Must be proficient in all Microsoft Office Applications and database software like Filemaker Pro., Volgistics, and Impromed, with the ability to learn new computer based and technical skills is required.
  • Excellent organization and team-building skills, excellent interpersonal skills with a can-do positive and solution focused mindset. Must be able to work and communicate with a diverse group of volunteers and employees.
  • Must be able to maintain confidentiality and exhibit sensitivity in handling volunteer issues.
  • Able to work a flexible schedule, and one weekend day.
  • Must be able to lift between 20-30lbs.
  • Must have a driver’s license and maintain a clean driving record.
  • Desire to make a positive difference in the lives of animals.
